Office Agent – CFS & Bonded Operations
Office-based role supporting daily front-office operations at our CFS and bonded warehouse facility near ORD — driver check-in, freight documentation, customs/AMS systems, WMS data entry, and customer service (not physical cargo handling).
Position Overview
CR Express is hiring an Office Agent to support daily front-office operations at our CFS and bonded warehouse facility near ORD airport. This is an office-based role focused on driver check-in, freight documentation, customs/AMS systems, WMS data entry, and customer service — not physical cargo handling. The Office Agent is the communication hub between drivers, customers, customs brokers, dispatch, and the warehouse floor. The ideal candidate is detail-oriented, calm under pressure, organized, and comfortable working across multiple systems including Descartes AMS and our proprietary Warehouse Management System (WMS).
Key Responsibilities
Driver Check-In & Dispatch Coordination
- Check in inbound and outbound drivers; verify identification, carrier, and appointment information
- Review and validate driver paperwork, including BOLs, delivery orders, pickup numbers, and load references
- Issue dock assignments and communicate load/unload instructions to drivers
- Verify seal numbers, trailer numbers, and container numbers at check-in and check-out
- Coordinate with the warehouse floor to ensure on-time loading and unloading
- Maintain a clear, professional driver waiting area and enforce site safety/check-in procedures
Descartes AMS & Customs Compliance
- Review and process inbound air freight in Descartes AMS
- Monitor AMS messages; resolve hold, discrepancy, and release exceptions with the customer/customs broker
- Track Customs status (1C, 1D, etc.) and coordinate freight release with brokers and customers
- Maintain compliance with CFS, bonded warehouse, Customs, and TSA documentation requirements
- Verify that documentation matches freight before authorizing release
- Escalate compliance concerns or unusual holds to the operations manager immediately
WMS & Documentation
- Enter and maintain shipment records in the proprietary WMS portal (receipts, locations, releases, transfers)
- Scan, upload, and file PODs, BOLs, delivery receipts, and warehouse documents
- Reconcile piece counts and weights between documents, WMS, and physical reports from the floor
- Generate warehouse receipts, release orders, and inventory reports as needed
- Maintain accurate, audit-ready records for all inbound and outbound moves
Customer Service & Communication
- Serve as the day-to-day point of contact for customers, brokers, truckers, and airline partners
- Respond promptly and professionally to phone calls, emails, and walk-ins
- Provide shipment status updates, ETAs, and release confirmations
- Communicate discrepancies (shortages, damages, overages, misrouted freight) to customers and internal teams
- Coordinate with dispatch, customer service, and warehouse leadership to resolve issues quickly
General Office & Administrative Support
- Maintain organized digital and physical files for all shipments
- Support inventory audits from the office side
- Assist with end-of-day reporting, billing prep, and record hand-off to accounting
- Follow all company, OSHA, TSA, and Customs procedures applicable to the office function
Qualifications
- Previous office, logistics, freight forwarding, or customer service experience required
- Familiarity with Descartes AMS, customs documentation, or WMS systems strongly preferred
- Strong computer proficiency: Microsoft Office, email, scanning, multiple browser tabs, and data-entry systems
- Excellent attention to detail and accuracy with paperwork and data entry
- Strong written and verbal communication skills
- Ability to multitask and stay organized in a fast-paced, time-sensitive environment
- Professional, courteous demeanor when dealing with drivers, customers, colleagues and vendors
- Reliable transportation and consistent, punctual attendance
- Flexible schedule and willingness to work overtime when operations require
Preferred Qualifications
- Experience with air freight, ocean freight, CFS, and bonded warehouse operations
- Working knowledge of MAWB/HAWB structure and import/export documentation
- TSA / STA clearance eligibility
- Experience with ORD airport freight operations
- Bilingual ability (Spanish is a plus)

Pay
- $20.00 per hour, paid on a weekly payroll cycle
- Overtime opportunities available based on operational need
Paid Time Off (PTO)
- Begins accruing on your first day at a rate of 1 hour of PTO for every 40 hours actually worked (up to 40 hours / 5 days in your first year)
- Earned PTO becomes available for use after 60 days of employment
- PTO may be used for any reason, with no documentation required
- Year 2 and beyond: 3 PTO days awarded on the first day of each calendar year (use-it-or-lose-it), in addition to earned vacation
Vacation
- 1 week of vacation awarded after completion of 1 year of continuous employment
- 2 weeks of vacation awarded after completion of 2 years, and on each anniversary through year 5
- Vacation is separate from PTO and must be used by your next anniversary date
Paid Holidays (Full-Time)
- Eligible for holiday pay after 60 days of employment (calculated from hire date)

Work Environment
This is an office-based position located inside an active warehouse and freight facility. The Office Agent interacts regularly with drivers, customers, and warehouse staff, and is expected to maintain professionalism, urgency, and attention to compliance at all times. Standard PPE (high-visibility vest, safety shoes) is required when stepping onto the warehouse floor.
